Workflow automation: stop copying data between apps.
We connect the tools you already use so details move between them on their own. An enquiry becomes a contact, a booking becomes a job, and an approval happens without a chase. You only hear about it when something needs you.
Every engagement starts with a free call. Quoted once we know the job.
A good fit if
- You retype the same details twice
- Enquiries get copied from email into a CRM or spreadsheet
- Forms, approvals and signatures get chased by hand
- You find out about problems too late
Not the right fit if
- The whole process needs rethinking: see Business Process Automation
- The job is a one-off clean-up with nothing to repeat
- Your systems have no way to connect (we'll tell you early)
What you get
Your apps connected
Email, CRM, calendar and accounts linked, so a detail entered once shows up wherever it's needed. We work with the tools you already use, where they allow it.
Forms and approvals that move
A submitted form goes to the right person, gets approved or sent back, and lands in the right place, without anyone forwarding it.
An alert when something needs you
An email to the right person when a job stalls, a payment is overdue or an approval sits too long. Quiet the rest of the time.
A map of what runs where
A plain list of every automation, what starts it and who to call if it breaks, so nothing runs that nobody understands.
How it runs
- 1
A 10-minute call
Tell us where details get retyped, forwarded or chased.
- 2
A written plan and quote
Each automation listed: what starts it, what it does, what it touches, and the price.
- 3
Build and test
We build each one, test it with real examples, and run it alongside your current way of working until you trust it.
- 4
Hand over and keep running
You get the map and a walkthrough. We watch it after launch and fix it when one of your tools changes.
Small automations that add up
Workflow automation is about small, repeated jobs: copying a name from an email into your CRM, moving a booking into the job list, sending the same follow-up every time. Each takes a minute. Together they fill a week.
We start with the ones that happen most and break least, then add more once those run cleanly. Some common examples:
- A new enquiry creates a contact and a follow-up task
- A booking adds the job and sends a confirmation email
- A signed quote moves straight to invoicing
- Low stock alerts whoever does the reordering
- A form gets routed, approved and filed
Picking up what your phone calls start
If you use J-Voice Agent, calls already turn into bookings in Google Calendar or Outlook, and orders and messages arrive by email. An automation can pick those up and carry them on, into your CRM, your job list or your accounts.
That way a call at 9pm can be a booked job with the details filed by morning, and nobody retypes a thing.
What this doesn't do
It doesn't redesign how the work is done. If the process itself is the problem, that's Business Process Automation.
It doesn't replace judgement either. Anything that needs a decision goes to a person, with the details already in front of them.
Questions
It's quoted after the first call, because it depends on how many automations you need and which tools are involved. Any subscription fees from those tools are listed separately in the quote.
Many business apps allow connections; some don't, or charge extra for it. We check yours early and confirm in the plan what will connect and how. If something can't, you'll know before you pay for it.
We build each one to alert someone when it fails, rather than fail quietly, and we fix it. Every automation is in the map we hand over, so you or your IT provider can see what it does.
Usually not. The point is to connect what you already use. If one tool is causing the retyping, the plan will say so and you decide what to do.
Each automation only gets access to what it needs, and the map lists what touches what. For a wider check of your tools and data, see AI Safety & Data Protection.
