Build · AI services
Business process automation, one whole process at a time.
Some work doesn't need another tool bolted on. It needs rebuilding. We take one process that costs you hours every week, redesign it end to end with AI where it helps, and measure it before and after.
Every engagement starts with a free call. Quoted once we know the job.
A good fit if
- A process costs you hours every week
- Quotes, intake or onboarding pass through several hands
- Work stalls whenever one person is away
- You're ready to change how a job is done, not just speed it up
Not the right fit if
- You have a few copy-and-paste jobs: Workflow Automation suits those
- The process changes every time it runs
- You want everything automated at once
What you get
The process redesigned
Quote-to-invoice, client intake, onboarding or another process mapped as it really runs, then redesigned with fewer steps, fewer handoffs, and AI where it does the job well.
Measured before and after
We agree what to measure up front, such as time per job, turnaround or rework, and record it before anything changes. Then we measure the same way after.
Built across your tools
The new process built on the tools you already use, with AI drafting, sorting or checking where it fits, and people deciding where they should.
Documented and handed over
Every step written down: what happens, what's automated, who owns it and what to do when something goes wrong. Your team runs it, and we're there if they need us.
How it runs
- 1
A 10-minute call
Tell us the process that eats the most time. We'll ask what it costs you now.
- 2
A written plan and quote
The process mapped as it is, the redesign proposed, what we'll measure, and the price, before any build.
- 3
Build alongside the old way
We build the new process and run it next to the old one until the results check out.
- 4
Switch over and hand over
Your team moves across, we measure the after, and you get the documentation. We can keep it running if you'd like.
Process automation or workflow automation?
Workflow automation connects the steps you already have. Business process automation asks whether those steps should exist at all. A quote that passes through four people might only need two. An intake form might ask for details you already hold.
Fixing the process first makes the automation simpler, cheaper to run and easier to hand over. It also means you're not paying to speed up a step that shouldn't be there.
An example: quote to invoice
Here's how a quote-to-invoice process might change. It's an illustration of the approach, not a result we're claiming.
People still make the calls that matter: the price, the approval, the sign-off. The process just stops making them retype and chase.
- Before: an enquiry arrives by phone or email and gets copied into a spreadsheet
- Before: someone writes each quote from scratch and chases approval
- After: the enquiry creates a draft quote from your price list, for a person to check
- After: an approved quote becomes a job, and a finished job drafts the invoice
- After: anything overdue alerts the right person
What it doesn't do
It doesn't remove people from decisions that need them. Pricing, approvals and anything a customer would want a person for stay with your team.
It also doesn't promise a saving before we've measured. The before-and-after numbers come from your own process, and they're yours to judge.
Questions
It's quoted after the first call, once we understand the process. The price depends on how many steps, people and tools are involved. You get it in writing before any work starts.
Usually the one that happens often, takes real time and follows mostly the same steps each time. If you're not sure, an AI Readiness Audit ranks the options for you.
We agree a few simple measures with you up front, such as how long a job takes from enquiry to invoice, or how many need fixing, and record them before anything changes. After the switch, we measure the same way.
They're involved from the start, because they know where the old one breaks. The new process runs alongside the old one before anyone has to switch, and training is part of the handover.
It depends on the process. A contained one, with a few people and tools, is a smaller job than one that crosses the whole business. The plan includes the expected timeline, and we'll tell you early if it changes.
Yes, if you use J-Voice Agent. Orders and messages from calls arrive by email, and the new process can pick them up from there, so a call can start a quote without anyone retyping it.
